Tips
How to use it well
- Call or text the family when a child misses without notice, especially after two days in a row.
- Take attendance at arrival, and do a headcount after every move, such as outdoor time, swim or a field trip.
- Total each column at the end of the week. You'll need daily counts for grant reports, subsidy billing and food program claims.
- Keep completed sheets for as long as your licensing rules and funders require.
Rules on ratios, medication and reporting vary by state. See your state in our state-by-state rules for youth programs.
FAQ
Questions, answered
How do we track attendance for a grant report?
Mark each child every day, then total the days each child attended and the average daily attendance for the month. Many funders also ask how many children attended regularly, such as a set number of days, so keep the weekly sheets together.
What's the difference between a sign-in sheet and an attendance sheet?
A sign-in sheet records who dropped off and picked up each child and when, for safety. An attendance sheet tracks which days each child came, for planning, billing and reports. Many programs use both.
