Privacy policy

How BackPR collects, uses and protects personal information on backpr.com and in the BackPR service.

BackPR (“BackPR,” “we” or “us”) provides online registration, payment and program management software (the “Service”) to organizations such as camps, schools, childcare providers and youth programs (“Organizations”), and to the families who register with them. This policy explains what personal information we handle, how we use it and the choices you have.

Our role

When a family registers with an Organization through BackPR, the Organization decides what information to collect and how to use it. We process that information on the Organization's behalf to provide the Service. If you have questions about how a particular Organization uses your information, please contact that Organization.

BackPR is responsible for information we collect for our own purposes, such as messages sent through our website and the accounts of Organization staff.

Information we collect

From Organizations

  • Names, email addresses and roles of staff who use the Service
  • Organization details, programs, schedules and prices
  • Billing and account information

From families, on behalf of Organizations

  • Parent and guardian contact information
  • Information about participants that the Organization asks for, such as name, date of birth, grade, medical and allergy information, emergency contacts and authorized pickup adults
  • Registrations, attendance and check-in records, signed forms and uploaded documents
  • Messages sent through the Service

Payment information

Card and bank payments are processed by our payment processor, Stripe. Card and bank account details are provided to Stripe for processing and handled under Stripe's privacy policy.

Website inquiries

When you contact us or request an account or demo through backpr.com, we collect the details you enter, such as your name, email address, organization and message. The form also sends us the name of the website that referred you to backpr.com and the first page you visited, so we know which sources help people find us.

Surveys

If you answer a BackPR survey, such as our survey of youth program directors, we store your answers to publish combined results, for example percentages in our reports. We don't publish or share individual answers. Giving your email address is optional; if you do, we use it only to send you the results.

Free tools

Most free tools on backpr.com run in your browser and send nothing to us. The nonprofit status checker sends the EIN or name you search so we can look it up in public IRS data; we don't use searches to contact you or for marketing.

AI assistants and the BackPR data server

Our public data server at https://backpr.com/ai/mcp (an MCP server) lets AI assistants, such as Claude and ChatGPT, look up the open data we publish. It has no accounts or sign-in and doesn't ask for personal information. When an assistant uses it, we receive only what the assistant sends: which lookup it uses (for example, state rules or a program search), the search terms it fills in (such as a state, city, ZIP code or keywords) and the technical details every web request carries (such as IP address and the name of the assistant's software). Anything your assistant puts in a search term, such as keywords, reaches us; the rest of your conversation, your chat history and your files don't.

We use this information only to answer the request and to keep the server working and secure. We don't use it to identify you, contact you or advertise to you, and we don't sell it. To prevent abuse, the server counts requests from each IP address in one-minute windows and keeps no record of the count afterward. Our hosting provider, Cloudflare, may cache answers to program searches for up to one hour; cached answers are stored by search terms, not by who asked. We don't otherwise keep the search terms. Error messages, which don't include search terms, are kept for up to seven days. Cloudflare also handles these requests under its own privacy policy.

Answers contain only published information: state rules, form templates, BackPR pages and software companies' published prices. They can also include listings of licensed programs from public state and local licensing records (program name, type, city, ZIP code, ages served, capacity and phone number where the records include them). Home-based family childcare isn't included. The assistant you use handles your conversation under its own privacy policy. To stop using the server, remove it from your assistant's connectors or plugins.

Technical information

Like most online services, we receive technical information such as IP address, browser and device type, and records of activity needed to operate, secure and troubleshoot the Service. We use cookies and similar technologies that are needed for the Service to work, such as keeping you signed in.

Website analytics

We use Cloudflare Web Analytics, Google Analytics and Amplitude to understand how visitors use backpr.com. Google Analytics and Amplitude run through Cloudflare's tag manager. These services receive information such as the pages you visit, your device and browser type, and your approximate location.

How we use information

  • To provide the Service to Organizations and families: registration, payments, forms, attendance, messaging and reporting
  • To respond to inquiries and provide support
  • To keep the Service secure and prevent fraud and abuse
  • To communicate with Organizations about their accounts and the Service
  • To comply with legal obligations

We use information we process for Organizations only to provide the Service to them. We do not sell personal information.

Information about children

Children do not create BackPR accounts. Information about children is provided by their parents or guardians, or by the Organization, so that the child can take part in the Organization's programs. We use it only to provide the Service to that Organization. Parents and guardians can review and update their children's information in their family account, or by contacting the Organization or us.

How information is shared

  • With the Organization you register with
  • With service providers that help us run the Service, such as payment processing, hosting, and email and text message delivery, under agreements that protect the information
  • When required by law, or to protect the rights, safety and property of others
  • As part of a merger, acquisition or sale of assets, subject to this policy

Keeping and exporting data

Organizations can export their data from BackPR at any time, at no cost. We keep information for as long as needed to provide the Service and meet legal obligations. Organizations that close their account can ask us to delete their data.

Security

We use administrative, technical and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, but we work to protect the information entrusted to us.

Your choices and rights

  • You can review and update your information in your account.
  • You can ask to access, correct or delete your information by contacting the Organization or us.
  • You can unsubscribe from marketing emails using the link in the email.

Depending on where you live, you may have additional privacy rights. To exercise them, email support@backpr.com.
