# Amilia SmartRec pricing, explained

Amilia charges a monthly subscription for SmartRec (Standard $99/month, Advanced $499/month, or a custom plan), plus a 1% service fee on each new invoice item. Amilia also processes card payments. Implementation is a separate one-time fee. Amilia's contract sets a 24-month initial term by default.

### Fees that grow with use

### Card and bank processing
Processed by Amilia (Amilia Payments, or Paysafe for some accounts). Card fees: 2.85% + $0.30 on Standard, 2.75% + $0.30 on Advanced, custom on Custom. eCheck: 1% + $0.50. Processing fees aren't reimbursed when a payment is refunded, and each refund carries its own per-transaction fee (for example $0.30 for cards and $0.50 for eChecks). Chargeback and ACH return fees are charged to the organization (amounts not published).

### Setup, contract and nonprofit terms
- **Setup and onboarding:** Implementation and onboarding starting at $899 (Standard) or $2,999 (Advanced); custom on Custom. Packages include at least 1 hour of one-on-one training. Data migration is priced by data volume through Amilia's Professional Services (not published). Change-management support, such as project management, migration help and training seminars, costs extra.
- **Contract and cancellation:** Amilia's Master Service Agreement (updated January 5, 2026) sets a 24-month initial term unless your service schedule says otherwise, then automatic 1-year renewals that can be canceled with 90 days' notice. Ending a subscription period early costs 100% of the remaining fees, using estimated service fees where they vary. Amilia can raise fees before each renewal with 90 days' notice. Invoices are monthly and due in 30 days; late payments can accrue 1.25% a month. Fees aren't refunded on termination. Amilia deletes the account 60 days after termination; to retrieve your data in that window, you pay all amounts owed plus a separate data retrieval charge.
- **Nonprofit offer:** Amilia's pricing page says it offers preferred rates for nonprofits. The rates aren't published.
- **Fees families pay:** Amilia's published fees are billed to the organization. The organization can add its own service fee to invoices (a dollar amount, a percentage or both) with Amilia's free Service Fee app, and can add card surcharges where the law allows.

### What a year could cost
A nonprofit camp on the Standard plan with 2 admins and 300 registrations a year at $250 each, each paid in one card payment. First year of the contract.

### What BackPR costs
BackPR is free for nonprofits: no subscription and no BackPR fees. Payments run on Stripe at Stripe's standard rates (https://stripe.com/pricing), and you can absorb the fee or pass it on. BackPR never adds its own fee to what families pay. Other organizations get pricing by quote. No long-term contract: cancel anytime, with no exit fees. Onboarding, data import and data export are free.

**Does Amilia have a free plan?**
No. Plans start at $99 a month (Standard). Amilia offers a 30-day free trial with no credit card. Free "Freemium" accounts are only for clubs in a federation, and they can't take online registrations or payments.

**Does Amilia charge per registration?**
Amilia charges a 1% service fee on every new invoice item, capped at $10 for rental contracts, bookings with an invoice and donations. Card fees are added on top: 2.85% + $0.30 on Standard or 2.75% + $0.30 on Advanced.

**Can we cancel Amilia anytime?**
Amilia's agreement sets a 24-month initial term by default, then 1-year automatic renewals that need 90 days' notice to cancel. Ending a term early costs 100% of the remaining fees.
